Scanning "into nowhere" is the most common complaint after installing an MFP. Let's cover both scenarios.

Scan to Email

The device needs access to an SMTP server. You'll need: the server address, port, encryption type, and a sender account.

  • Port 587 with STARTTLS is a working option for most mail services.
  • Many providers require a separate app password — your regular mailbox password won't work.
  • Check the attachment size limit: a 30-page scan at 600 dpi can easily exceed 25 MB.

Scan to Network Folder

  • Create a separate account solely for the scanner — don't use a personal one.
  • Grant it write access to the folder, but not delete access.
  • Specify the username together with the domain, and the path in network format with double backslashes.
  • Check that older SMB protocol versions aren't disabled on the file server, otherwise the device simply won't see the folder.

Useful Quality Settings

For text, 200-300 dpi in black-and-white mode is enough — the file ends up several times lighter. 600 dpi and color are needed only for photos and stamped documents headed for the archive.
